General Personal Assistant (Remote)

The scope of responsibilities and functions covers, but is not limited to:

  • Responsible for efficiently storing and organizing documents and files.

  • Perform data entry tasks including but not limited to preparing lead lists or meeting minutes, transcribing audio recordings, preparing payroll information, and organizing research notes.

  • Conduct product research, purchase goods, and obtain samples.

  • Maintain, update, and collect information for marketing and sales campaigns using a CRM system.

  • Generate and send statements or invoices, monitor payments, and record company expenses.

  • Collect data on trends, industry best practices, and other publicly available information and create reports on the findings, such as for comparative analysis.

  • Monitor projects, facilitate internal communication, and organize company data.

  • Coordinate team calendars, prevent scheduling conflicts, and ensure clients are punctual and well-prepared for meetings.

  • Arrange travel itineraries, book hotels, rental cars, etc.

  • Receive and convey information during incoming calls, make calls for appointments or conduct informational inquiries.

  • Respond to emails, follow up on correspondence, organize inbox according to client preferences, and notify clients about important emails.

  • Perform any additional tasks as assigned.

Requirements:

  • Certificate course
  • Excellent communication skills via phone, email, and instant messaging
  • Proactive attitude and willingness to be trained
  • Time management skills
  • Experience with commonly used software (e.g., MS Office)
  • Knowledge of online calendars and scheduling (e.g., Google Calendar).

Technical requirements:

  • USB headphones with noise-canceling function
  • Working webcam
  • Main computer: at least 1.8 GHz processor with at least 4 GB of RAM
  • Primary internet service speed: At least 25 Mbps of wired connection
  • Backup Internet service speed: at least 10 Mbps
  • Hours: 40 hours a week (Monday to Friday) synced to the American working calendar.

English level: B2-C1
Location: Colombia—Remote
Type of Work Contract: Indefinite term
Salary: Negotiable based on experience and skills.
